Create a SharePoint Online Intranet with the following high level scope items:

• Design and implement company intranet to improve on productivity within various function units. It should have the following departments: CUSTOMER CARE, ENGINEERING, EXECUTIVE, FACILITIES, FINANCE, GLC INTEGRATED SEHUMAN RESOURCEIT, LOGISTICS, OPERATIONS, PRODUCTION, SALES, QUALITY
• Team tools – Define proper collaboration spaces to assist the teams to work better together through collaboration. Having common tools e.g. calendar planner, team blogs, teams chat and shared working documents and files
• Create a solution contingency plan to manage data limits within SharePoint and search ability for archived content
• IT staff together with the vendor technical team will test the system and document defects after the testing is executed. The vendor will be responsible for resolving the defects and reactivate the test process to ascertain all the documented defects have been fixed before live rollout
• Create a simple permissions structure where GLC can easily add or remove people from areas of SharePoint as needed (such as making departments only accessible to the department’s members)

A custom SharePoint theme will be created to match the GLC branding guidelines. In addition, site collections will be used for each department and linked together through a hub site association unless security trimmed site pages are used instead. A standard department layout will be created and once approved will be used across all department site collections to maintain a similar look and feel throughout the intranet.

GLC will input or provide content as needed to help populate the intranet pages with content.

Any workflow automation tasks will be completed in a future work order and not in this one.

Migrate existing file shares to SharePoint Online document libraries. This involves scanning the existing file shares, identifying, and categorizing files to be migrated for each department as well as determining how best to migrate the data into SharePoint Online. In addition this involves determining the site, folder, and file permissions and sharing for files. A migration date will suggested by Mr. SharePoint and will need to be approved by GLC before the official migration occurs.

GLC will need to provide a leader for each department to help Mr. SharePoint identify the correct files to be migrated and the proper permissions.
